The George Gordon Education department is seeking an enthusiastic individual for the position of Administrative Assistant. The Admin Assistant will be under the direction of the Education Coordinator. The Administrative Assistant is responsible for reception and clerical support duties at the George Gordon Education Department. The Administrative Assistant will provide customer service to the George Gordon First Nation Community Band members, employees and public.
Duties and Responsibilities:
The Education Administrative Assistant under the direction of the Education Coordinator, provides administrative support services to ensure efficient operation of the office. Ensuring all assigned administrative support duties are completed accurately and delivered with quality and in a timely manner. The role supports managers and employees through a variety of tasks related to organization and communication.
• Professionally answer, screen, and direct incoming telephone inquiries.
• Responsible for confidential and time sensitive material.
• Coordinate, organize, and schedule meetings, including logistics and preparation.
• Prepare and format documents such as meeting agendas and presentations.
• Accurately record, prepare, and distribute meeting minutes in a timely manner.
• Draft, edit, and distribute correspondence, including emails, memos, letters, forms, and reports.
• Perform data entry and maintain accuracy across various applications.
• Develop, implement, and maintain efficient physical and electronic filing systems.
• Maintain and update policies, procedures, and administrative processes.
• Assist in the preparation of regularly scheduled reports and spreadsheets.
• Coordinate travel arrangements, including bookings and itineraries.
• Process expense claims and cheque requisitions in accordance with established financial procedures.
• Monitor office supplies inventory levels and order as required.
• Maintain and update contact lists.
• Serve as a primary point of contact for staff, board members, and external stakeholders.
• Be familiar with a variety of the field’s concepts, practices, and procedures.
• Participate in training for the Education program as required.
• Perform other related administrative duties as assigned.
Skills and Qualifications:
• Certificate or Diploma in Office Administration, or equivalent experience.
• Demonstrated experience in an administrative or office support role.
• Strong organizational skills with the ability to prioritize tasks and manage multiple responsibilities effectively.
• Proven ability in planning, coordination, and implementation of administrative processes.
• Excellent verbal and written communication skills.
• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, and Outlook).
• Knowledge and understanding of First Nations people, the cultures, and communities.
Salary will be based on experience, training, education.
